How do you handle a NSF check on a paid invoice?

You have three options and you may want to consult with your accountant and ask them for their recommendation.

If you charge a Non-Sufficient Funds fee, the first thing that you will want to do is go into inventory < Services < Other Services and set up a fee for the NSF charge.  Go back to the original paid invoice, change the status to Active, then to pending and click the + button to find the service you have created in your inventory and add that NSF charge.

First option is once you have altered the invoice for the NSF charge you can change it to Authorized and receive a negative payment on the invoice. That way when you bill the patient they see the original charges, the original payment, the NSF amount, and the removed payment. The negative payment will show on your Deposits, Receipts, and Deposit Slip.  This method can be used to keep track of when the payment was taken back from your bank.

Option two is once you have altered the invoice for the NSF charge you can click add adhoc. For the description I would type in ‘returned check’ and for the amount type in the amount of the returned check. Then change the invoice back to authorized. That way when you bill the patient they see the original charges, the original payment, the new adhoc for the NSF amount and also another charge for the returned check fee. This option will alter your Sales report by having this adhoc returned check amount in your sales.

Third option is you can void the payment. If you charge an NSF fee then you would unauthorize the patient invoice after voiding the payment, add the NSF fee, and reauthorize. This method would remove the payment from the Deposit report and Deposit slip for the date of the payment and may cause your reports to be different from your bank statement.
